External Engagements Coordinator
Part Time, Permanent
0.6 FTE (21 hours per week)
Salary scale: £19,305 – £22,314 pro rata per annum
We are: looking for an individual to coordinate all aspects of the engagement of our students from booking, coordination and client aftercare to facilitating employment opportunities for students and generating income for the Conservatoire. You will maintain and develop relationships with a wide range of external agencies with a view to enhancing employment opportunities and engagements which will raise the profile of the Conservatoire and its students.
Specifically, you will be responsible for registering student performers, paying particular attention to international student visa restrictions, and preparing contracts relating to each engagement. You will ensure that an accurate record system is maintained relating to all external engagements including payroll, purchase order systems and invoice processing.
You are: someone who won’t be fazed by a demanding, intense and passionate environment. This is a busy role – you will be required to work accurately and effectively to strict deadlines and maintain a confident and calm attitude under pressure whilst working with minimum supervision. Dealing with confidential information is a key aspect of this role and you will be required to maintain confidentiality.
You must have: demonstrable event and project management experience as well as the ability to communicate articulately at all levels. You will have a good working knowledge of Office IT packages as well as previous experience of financial tracking and monitoring. If you’ve worked in a Higher Education or performing arts environment before then this would also be an advantage but equally we value new thinking, fresh approaches and innovative ways of doing things.
There may be a requirement for occasional external working and out of hours and weekends to fulfil this post.

Space Planning Administrator
Academic Administration and Support
Full Time, Permanent
£19,305 – £22,314 per annum
We are: seeking an Administrator to provide administrative support for a range of internal room bookings; timetabling room requirements, in particular highlighting and resolving clashes as they occur; external studio hires and external events hires at the Royal Conservatoire of Scotland. In addition, you will provide administrative support to the Events and Productions Gateway Process and maintain the comprehensive diary of events listing.
You are: someone who won’t be fazed by a demanding, intense and fast paced environment.
You will: be responsible for preparing and coordinating timetable scheduling activities and produce the annual calendar. In addition to this, you will coordinate all external rehearsal and dance studio hires by third parties at both Renfrew Street and Wallace Studios. Further to this, you will be negotiating contracts and rates with local hotels. You will be the first point for general telephone and e-mail enquiries. You will act as minute secretary for the fortnightly Production Planning Group meetings cycle.
You must: have a good standard of education, proven administrative experience in a busy office environment, excellent communication skills. In addition to this, experience of comprehensive minute taking and preparing and organising events. Further to this, good working knowledge of Microsoft Office.
